Return, Refund & Cancellation Policy

This policy explains how cancellations, refunds, and returns are handled on ProSansaar platform.

This Policy should be read together with our Terms & Conditions and Payment, Escrow & Refund Policy.

Nature of Services (No Physical Returns)

ProSansaar is an online marketplace that connects Clients with Professionals for digital / professional services (projects, tasks, consulting, etc.).

We generally do not deal with physical goods, so traditional "product returns" do not apply.

  • There is no requirement to ship anything back to ProSansaar.
  • All issues relate to service quality, delivery, timelines, or scope, and are handled via our internal dispute and refund process.

If any Professional offers physical goods through the Platform (now or in future), separate return terms may apply as provided by that Professional.

Project Cancellation

2.1 Before Payment / Before Work Starts

  • If the Client has not made any payment and the Professional has not started work, the Client may cancel the request without any charge through the Platform.
  • No funds are involved, so no refund is required.

2.2 After Payment but Before Work Starts

  • If payment has been made but the Professional has not yet started the work, the Client may request cancellation via the Platform.
  • In such cases, ProSansaar may, at its discretion, approve a full or partial refund to the Client from the escrowed amount, after considering any costs or commitments already incurred.

2.3 After Work Has Started

Once the Professional has started working on the project, cancellation will be handled according to:

  • The agreed terms between Client and Professional, and
  • The outcome of communication between the parties, and
  • ProSansaar's internal dispute resolution process (see Section 4).

A full refund is not guaranteed after work has started.

When You Can Request a Refund

Clients may request a refund in situations such as:

  • Non-delivery of work: the Professional has not delivered anything within the agreed or reasonable time, without valid reason.
  • Significant delay: delivery is unreasonably delayed and the Professional is not responding or cooperating.
  • Poor quality or not as agreed: work delivered is clearly and substantially below the agreed scope or specifications.
  • Professional violates Terms: for example, plagiarism, misuse of sensitive data, or other serious breaches.

Refunds are not automatic and are subject to review as described below.

Dispute and Refund Process

Try to Resolve Directly

If there is an issue, the Client and Professional should first communicate through the Platform to try to resolve it directly (clarify requirements, request revisions, agree on partial payment, etc.).

Raise a Dispute

If direct communication does not resolve the issue, either party may raise a dispute through the Platform within the allowed time frame. ProSansaar may request evidence such as:

  • Project description and scope agreed
  • Chat conversations
  • Files and deliverables shared
  • Timeline and milestones
  • Other relevant details

Review by ProSansaar

ProSansaar will review all available information in good faith and make a decision on how to handle the funds held in escrow.

Possible outcomes include:

Full Refund

Complete refund to the Client

Partial Refund

Split between Client & Professional

No Refund

Full payment to Professional

The decision is made solely for allocation of funds within the Platform and is final and binding at the Platform level.

Cases Where Refunds Are Granted

Refunds (full or partial) may be granted when ProSansaar concludes that the Professional is primarily at fault, for example:

  • No work delivered at all (non-delivery).
  • Significant and unjustified delay beyond agreed timelines.
  • Work clearly not matching the agreed scope, requirements, or minimum professional standards.
  • Serious breach of our Terms & Conditions by the Professional.

In such cases:

  • A full or partial refund may be issued to the Client from the escrowed amount.
  • The Professional may forfeit payment for that project and may face additional actions (warnings, restrictions, or account closure).

Cases Where Refunds Are Not Granted

Refunds are usually not granted when ProSansaar concludes that the Client is at fault, such as:

  • The Client received reasonably completed work as per agreed scope but demands a refund without valid reason.
  • The Client demands additional work beyond the agreed scope without agreeing to extra payment.
  • The Client becomes unresponsive, does not provide necessary information, or causes delays.
  • The Client uses or benefits from the delivered work (for example, publishes or implements it) and still requests a refund.
  • The cancellation request is made very late after the work has been delivered and accepted.

In such cases:

  • No refund will be issued to the Client.
  • The funds held in escrow will be released to the Professional (after ProSansaar's fees and applicable charges).

Shared Responsibility

If ProSansaar determines that both the Client and Professional are partially responsible for the issue (for example, unclear requirements plus partially incomplete work):

ProSansaar may, at its discretion, decide on a partial refund and split the funds between the Client and the Professional in a fair manner.

How Refunds Are Paid

  • Refunds (full or partial) are processed through the same payment method originally used, wherever possible (via Razorpay or PayPal).
  • The time it takes for the Client to receive the refunded amount depends on the bank, card issuer, PayPal, and payment gateway processing times.
  • ProSansaar is not responsible for any delay caused by banks or payment gateways, but we will share relevant transaction details if needed.

Chargebacks and Reversals

  • If a Client initiates a chargeback with their bank or card issuer, the final outcome is determined by the payment gateway (Razorpay/PayPal) and the bank.
  • ProSansaar may provide evidence to contest unjustified chargebacks.

If a chargeback is upheld and funds are reversed from ProSansaar or the Professional, ProSansaar may recover the amount, plus any gateway/chargeback fees, from the Professional's balance or future earnings on the Platform.

Cancellation by ProSansaar

ProSansaar reserves the right to cancel or reverse a project or transaction in certain situations, for example:

  • Fraudulent or suspicious activity.
  • Violation of our Terms & Conditions or other policies.
  • Legal or regulatory requirements.
  • Technical errors or issues.

In such cases, ProSansaar will decide, in good faith, whether funds are:

  • Refunded to the Client,
  • Released to the Professional, or
  • Temporarily held while the issue is investigated.

No Guarantee of Refunds

While ProSansaar provides an escrow system and dispute process to protect both Clients and Professionals, refunds are not guaranteed for every request.

Each case is evaluated individually, based on:

  • Evidence from both parties,
  • The agreed scope and communication,
  • Work actually delivered, and
  • ProSansaar's policies and Terms & Conditions.

Changes to This Policy

We may update this Return, Refund, and Cancellation Policy from time to time.

The latest version will always be available on our website with a revised "Last updated" date.

Your continued use of ProSansaar after such changes means you accept the updated Policy.
